PRIVACY POLICY

EstimateQuest ("we", "our") is a free planning poker tool for agile teams. This policy describes what data we collect, how we use it, and your choices.

SESSION DATA

When you create or join a session, we store your chosen display name, role, player group, avatar seed, votes, and ticket information on our backend (Convex). None of this data is tied to a real identity — display names are pseudonyms you choose freely. All session data is automatically deleted after 8 hours of inactivity.

WAITLIST EMAIL

If you join our waiting list, your email address is sent to Brevo (our email provider) for a one-time launch notification. We do not use your email for marketing, and you can request removal at any time by emailing support@estimate.quest. Waitlist submissions are protected by Cloudflare Turnstile to prevent abuse.

ANALYTICS (OPT-IN)

We use PostHog (EU-hosted) for analytics. It is disabled by default and only activated if you accept analytics in our cookie consent banner. When enabled, we collect anonymous page views and session recordings (mouse movements, clicks, and page scrolls) to improve the user experience. Recordings do not capture keyboard input or personal data. You can withdraw consent at any time by clearing cookies for .estimate.quest and site data for each EstimateQuest site you used.

ERROR TRACKING

We collect anonymous error reports via a separate PostHog instance to keep the application reliable. These reports contain error messages and types — no personally identifiable information. Error tracking is classified as essential data processing and is always active.

CONSENT COOKIE

We store your cookie consent choice in a small first-party cookie (eq_consent) set on the .estimate.quest domain. This cookie is shared across all EstimateQuest services (the app, landing page, and documentation) so you only need to accept or reject once. It contains only your analytics preference (accepted or rejected) and expires after one year. The app also keeps a local copy of your consent record in your browser's localStorage (including a timestamp and schema version) for faster loading. If you change your mind later, you can withdraw or change your consent at any time by clearing cookies for .estimate.quest and site data for each EstimateQuest site you used; this removes your existing consent record and disables optional analytics until you make a new choice.

Before you opt in, we do not send any analytics events to PostHog and no non-essential PostHog cookies are set. The only information that may be stored before opt-in is what is strictly necessary to remember that analytics are disabled (for example, a small first-party key in localStorage). When analytics are enabled, PostHog sets additional first-party cookies on the .estimate.quest domain for session identification. We do not use any third-party tracking cookies or cross-site identifiers.

RATE LIMITING

Your IP address is used ephemerally for rate limiting when creating sessions. It is not stored in any database and is discarded within minutes.

THIRD-PARTY SERVICES

In addition to the services mentioned above, we use DiceBear for avatar previews on this landing page (in-app avatars are generated locally) and UserJot for the optional feedback widget. UserJot only processes data you voluntarily submit.

CSV EXPORT

Session recaps can be exported as CSV. The export is generated entirely in your browser and downloaded directly to your device — no data is sent to our servers during export.

TERMS OF SERVICE

These terms govern your use of EstimateQuest, a free planning poker tool for agile teams. By using the service you agree to these terms.

SERVICE DESCRIPTION

EstimateQuest lets teams run planning poker sessions in real time. Moderators create sessions, add tickets, and manage voting rounds. Voters submit estimates using Fibonacci, Linear, or T-Shirt scales. No account or sign-up is required to use the application.

TEMPORARY DATA

All session data — including player names, votes, tickets, and estimates — is stored temporarily and automatically deleted after 8 hours of inactivity. Do not rely on EstimateQuest as permanent storage. Use the CSV export feature if you need to keep a record of your session results.

ACCEPTABLE USE

You agree to use EstimateQuest for its intended purpose — facilitating planning poker sessions. You may not:

  • Attempt to disrupt or overload the service
  • Circumvent rate limits or abuse the session creation API
  • Use the service to distribute malicious or illegal content
  • Scrape data or reverse-engineer the backend

AVAILABILITY & WARRANTIES

The service is provided "as is" without warranties of any kind. We do not guarantee uptime, data persistence, or uninterrupted access. We may modify, suspend, or discontinue the service at any time without notice.

RATE LIMITS

To ensure fair usage, session creation and certain actions are rate-limited. Exceeding these limits will result in temporary restrictions. These limits exist to protect the service for all users.

PRIVACY

Your use of EstimateQuest is also governed by our , which describes what data we collect and how we process it.

CHANGES

We may update these terms at any time. Continued use of the service after changes constitutes acceptance of the updated terms.
